Confidentiality

Kiddywinks is required to keep specific records of children and staff, parents and emergency contacts. These records can be seen by the staff member or parent at any time. If at any point you no longer wish for Kiddywinks to hold your information, please inform us and it will be destroyed with immediate effect. However, we have a legal obligation to hold information specific to the children until the child’s 16th birthday. Confidential data is shredded on site and recycled, data on the computer is securely deleted.

All records and details will be held on a computer and some may be kept in paper form. Information is kept secure, via password protection and by locking the information away when unattended to prevent unauthorised access, use, destruction or disclosure and to protect data against accidental loss. We aren’t required to appoint a DPO (Data Protection Officer) under the GDPR but we have decided to do so voluntarily. We understand that the same duties and responsibilities apply had we been required to appoint a DPO. We support our DPO to the same standards. The DPO is Kayley Silvester.

All confidential records will have appropriate security features and will only be available to persons who are approved by the management of Kiddywinks. No information will be shared unless previously stated with any third party.

 

All information held by Kiddywinks will be protected by the General Data Protection Regulation (GDPR).

If a child has SEN then information will need to be shared between other professionals, in the form of discussions and of more formal report writing. This will all be discussed with the parents and any reports shown to them prior to them being submitted.

 

If any abuse is suspected or if we deem the child to be at risk of significant harm it will be reported to the necessary departments without delay and in exceptional circumstances permission will not be sort as this may not be in the best interests of the child.

 

Any form of inappropriate breech in confidentially will result in disciplinary action being taken with immediate effect.
